Recently, I worked with a corporate client to transform their standard company-wide webinar into a dynamic, engaging live event. They needed to integrate multiple speakers, showcase sponsor videos, and maintain a high level of professionalism throughout. This required a level of production far beyond simple screen sharing.

That project highlighted the key elements that separate amateur presentations from professional productions. Here are five of the techniques we used that you can apply to your next webinar or virtual event.

1. Use Professional On-Screen Graphics (Lower Thirds)

A “lower third” is the graphic that appears at the bottom of the screen to introduce a speaker, displaying their name and title. It’s a staple of television news and professional interviews for a reason: it adds a layer of polish and instantly informs the audience. Instead of just a name tag in a Zoom window, a custom-branded lower third makes your presentation look intentional and high-end.

2. Create a “Run of Show” with Intros, Outros, and Transitions

A professional broadcast feels like a cohesive show. It has a clear beginning, middle, and end.

  • Intros: Start with a branded video intro or a “Starting Soon” screen with a countdown timer. This builds anticipation and ensures your audience is ready when you begin.
  • Outros: End your event with a clear call-to-action, a thank you message, or a graphic with your contact information.
  • Transitions: Instead of an abrupt cut between your slides and your camera, use a smooth, professional transition (like a “Stinger” transition in OBS). This small detail makes a huge difference in the overall flow of your event.

3. Integrate Sponsor Recognition & Video Playback Seamlessly

Many professional webinars include sponsor recognition or need to play pre-recorded video segments. This is impossible to do smoothly in a standard video call but is a core function of a professional production. By using OBS, we can seamlessly transition from a live speaker to a full-screen sponsor video or product demo and back again, exactly like a live TV broadcast.

4. Manage Multiple Remote Guest Feeds Intelligently

Having multiple guests on screen for a panel discussion can quickly look messy. A professional production involves managing these feeds with intention. Instead of the default grid view, we can create custom scenes in OBS:

  • A “side-by-side” view for a two-person interview.
  • A dynamic layout for a panel discussion, with the current speaker featured more prominently.
  • A dedicated scene for each guest if they are presenting individually with slides.

This level of control allows you to direct the audience’s focus and create a much more engaging and visually appealing experience.

5. Have a Dedicated Technical Director

This is the secret that ties everything together. The reason TV broadcasts are so smooth is that the on-air talent isn’t also switching cameras, running graphics, and managing audio. They have a technical director behind the scenes running the show.

For our client’s webinar, my role was to be that technical director. I managed all the elements we’ve discussed—the graphics, video playback, guest feeds, and transitions. This freed up the hosts and presenters to focus entirely on their performance, knowing the technical side was being handled flawlessly.
